Compensation: $16.50 to $17.50 hourly

Robert Half OfficeTeam has partnered with a Higher Education client in Amherst for a Contracts Administrator/Bid Coordinator Role. This position will be responsible for supporting and assisting with the bid preparation and evaluation process. The Bid Coordinator/Contract Administrator will also become familiar with the development, analysis and awarding of contracts. The ideal candidate will have strong organizational skills, the ability to communicate effectively, an analytical mind, and proven experience with Microsoft Excel and Word.

Essential Duties and Responsibilities

• Supplier Sourcing: Complete bidder registration process.

• Bid Preparation: Accurately input bid specification data into bid express portal. Coordinate webinar and other related tasks, utilizing defined checklist. Coordinate the placement of public advertisement of bid opportunities per direction of Contract Manager

• Bid Opening & Evaluation: Download and organize bids for evaluation. Validate and clarify bid related data. Perform electronic reference check. Enter bidder information into database.

• Negotiation: Attends negotiation meetings and maintains supporting documentation.

• Award Recommendation: Implements contract award recommendation.

• Contract Management: Assists contract managers in the administration of individual contract portfolios. Supports member and supplier communication. Maintains supplier database and web storage of contract documents.

• Communicate with suppliers/bidders

• Adhere to deadline dates and industry regulations

• Preparation of bid specifications

• Data evaluation and sorting

• Assist contract managers with bid analysis

Job Requirements:

Bachelor of Science (BS) or Bachelor of Arts (BA) degree is preferred

One to three years of higher education, buyer or procurement experience is desirable

Proficient in Microsoft Excel and Access

Excellent attention to detail; ability to work independently and execute plans to meet member and supplier needs

ability to prioritize multiple responsibilities; demonstrated ability to work collaboratively in a team environment
