Job Description
The Executive Administrator role is essential to ensuring smooth day-to-day operations and administrative support for the Leadership Team (CEO, Chief Commercial Officer, Chief Product Officer, Legal Counsel and Human Resources Lead).

Successful candidates will be thorough and detail-oriented multi-tasker with a passion for creative, entrepreneurial environments.
Responsibilities
Be the “go-to” person “in-the-know” to facilitate communication and solutions for the executive team Maintain complex and dynamic schedules Act as a liaison for and with executives, including internal and external clients Anticipate needs and realign personal agenda to reach goals Reconcile, process, and approve expense reports Coordinate executive presentations Manage and prepare internal and external events; participation in and/or support for large-scale events Set-up processes and cascade process information throughout the team on behalf of the managing executives Provide best practices across all functions with high quality execution and service Ability to provide remote assistance for multiple requestors from multiple locations Provide incidental support to direct reports as needed Maintain confidentiality regarding company financial, compensation, and investor relations information Attend monthly, quarterly, and weekly meetings that may require to take meetings notes/actions items Prioritize incoming communications (mail, email, calls) while anticipating and communicating any required actions/deadlines Anticipate and solve challenges to ensure the most strategic use of the Executive’s time Work in partnership with the Legal team with monitoring and executing the DocuSign process Provide administrative assistance to executive staff which may include writing and editing internal and external communications, formatting, and printing documents, and preparing spreadsheets.

Event coordination and conference room scheduling Other general office administration tasks as needed
Qualifications
:
5-7 years of professional work experience Proficiency using MS Word, Excel, PowerPoint, Outlook, and Adobe with the ability to learn additional applications as needed Demonstrated experience supporting senior executives within a corporate environment Understand priorities and manage completion of multiple requests from different sources Ability to multitask and prioritize Excellent communication and organizational skills.

A high degree of professionalism and ability to maintain confidentiality Ability to meet deadlines and have the discretion to handle sensitive and confidential information Ability to build relationships one-to-one and within teams and other organizations Exceptional attention to detail and reliable.
