Executive Secretary


This is a Full-time position in Northborough, MA posted July 16, 2021.


Position summary:
The position specializes in day to day operations of a financial services practice, including managing client service to ensure the maintenance of an efficient, organized office that allows the Financial Representative to focus his energy on building client relationships. The EA is a liaison between the home office, financial representative, and clients. Specific responsibilities should include but not be limited to the following below:

Administrative Support

  • Appointment Preparation and Follow-up service work
  • Transcribe notes and dictation, type correspondence, and maintain client case files.
  • Order and refill marketing materials for client information.
  • Maintain financial representative’s website and other marketing strategies.

Client/Service Support: Non-Securities Insurance

  • Prepare and process any proposals, applications, illustrations, and/or summaries for client meetings.
  • Process paperwork from client meetings or client requests.
  • Monitor Daily Status Report (DSR); expedite any additional underwriting requirements.
  • Handle phone calls providing current status and account values for non-securities-related accounts.
  • Contact and advise clients on non-securities sales and service-related issues.
  • Communicate with home office as needed to supply or attain policy information.
  • Telephone clients, prospects, and centers of influence for appointments.
  • Receive and forward checks and related paperwork to the company operations area.
  • Other miscellaneous duties include: maintaining a clean space and office, photocopy, and file client documents.


  • Must have your Series 7, 63, or 66 and Life/Health and Annuity licenses.
  • Minimum 2-5 years of client service operations experience in the financial services industry.
  • Bachelors degree preferred.
  • Strong client relationship skills and experience
  • Proficiency with Microsoft Word, Excel, PowerPoint, and Outlook
  • Knowledge of Salesforce or similar CRM is preferred
  • Organized and strong attention to detail with the ability to work with a high degree of accuracy.
  • Ability to effectively work in a client-focused team environment, building a spirit of cooperation, and sharing knowledge and skills with others in the group.
  • Resourcefulness, energetic, and the ability to multi-task in a fast-paced environment
  • Experience in the financial services industry or knowledge of insurance.
  • Demonstrated organizational skills, ability to multitask, and time management skills with the ability to set priorities and meet deadlines.
  • Clean compliance record and background check as determined by home office
  • Ability to maintain confidentiality

Salary: $50,000 to $60,000 / year

As part of recruiting/hiring/contracting process, a verification of a candidate’s background will be made to complete the process. Fingerprints will be required as part of FINRA registration process a for submission to the Federal Bureau of Investigation for review against nationwide fingerprint records.
