South Shore Conservatory (SSC) is a community school for the arts on Boston’s South Shore, welcoming individuals of all ages and abilities. About the Opportunity:

We are looking for a diverse and dynamic Registrar to join our team . This position plays a critical role in the ongoing success and growth of the conservatory. The Registrar supports students, families, and faculty alike in scheduling, enrollment, and billing. An essential role of the registrar is to serve as a schoolwide resource, welcoming visitors, answering the phone, and providing an exceptional level of customer service. This position reports directly to the Registration Supervisor. The Registrar will work closely with the Registration staff, Finance Department, Faculty, Student Families, Administration &
Operations and Campus Directors.

The ideal candidate is curious, patient, calm, a problem-solver, works well on a team and independently, likes people, listens, and is able to function in a fast-paced environment.

Responsibilities – Essential Functions and Skills

  • Serve as the first point of contact with all general inquiries, callers, and visitors, and provide a high level of customer service. Direct messages in a timely, professional manner.
  • Register students on a daily basis, including coordinating faculty and student schedules, providing accurate invoices, and reviewing outstanding balances.
  • Maintain accurate records and student databases.
  • Maintain regular communication with faculty regarding attendance, studio needs, changes in schedule, etc.
  • Ensure the security and coverage of SSC’s reception area, including compliance with SSC’s COVID-19 Control Plan.
  • Support both the Finance Department and new student placement process with projects and functional tasks related to registration including but not limited to invoicing, processing payments, and creating new student records.
  • Maintain a high level of discretion and confidentiality at all times.
  • Maintain an up to date understanding of SSC, its programs, and its people. Identify, address, and mitigate issues that may arise.
  • Other duties as assigned.

Education, Experience, Qualification Required

  • A warm, welcoming professional with attention to detail, confidence, and a sense of humor.
  • At least 2 years of experience in administration, customer service, or similar positions.
  • Experience in Microsoft Suite, Google Suite, Zoom and Studio School Pro or other similar customer databases.
  • Proven ability to communicate clearly and efficiently both verbally and in writing.
  • Ability to adapt to meet the needs of SSC’s constituents, including universal access.
  • Natural ability to maintain shared records and calendars.
  • Experience in arts or non-profit administration is highly preferred.
  • Comfort with reaching out to families about sensitive financial matters such as past due balances and missed payments.

Supervisory Responsibility

This position has no supervisory responsibilities.

Work Environment

This position operates in an office and professional environment. This role routinely uses standard office equipment such as computers, phones, photocopiers and filing cabinets.

Physical Demands

This is mostly sedentary outside of travel in an office space. This would require the ability to sit at a desk, frequent walking, bend or stand as necessary. On occasion the position may require the ability to lift up to 25lbs.

Position Type and Expected Hours of Work

Designated days and schedule will be primarily in-person at the Hingham campus, Monday – Thursday,
12:45 – 9:15 pm, Friday 11:30 – 8 pm.
