Surgical Scheduler

Busy Plastic Surgery office looking for a Surgical Scheduling Specialist who will also support the office with Executive Administrative duties. This role will work directly with our OR team, our Aesthetics team, our contracted Anesthesia group, and externally contracted providers. This person will be responsible for booking OR time and setting up appointments, coordinating physician communications internally and externally around scheduling surgical procedures, and ensuring all parties have accurate and required information in advance of procedure date to successfully perform procedures upon scheduled time.

As the organization is small, we all perform duties beyond our primary skillset. This role will also require the employee to perform other duties that which may include typical office tasks such as assistance preparing for meetings, front desk assistance greeting patients and answering phones during busy volume times, scheduling contractors, and booking travel arrangements or business appointments for leadership.

This role requires excellent problem solving, multi-tasking, detailed understanding schedule coordination among multiple parties, proficiency with EMR scheduling systems, Microsoft Office, and must have professional written and verbal communication skills. You must be Pro-active, quick thinking, have a strong attention to detail, organized, independent, trustworthy, passionate, and charismatic.

Primary role duties include (but not limited to):

· Booking surgeries within our private facility and at multiple hospitals.

· Knowledge of insurance requirements for procedures, and ability to proactively ensure documentation is in place to support successful insurance reimbursements.

· Establishing strong relationships and communication with hospital contacts and internal and external provider contacts.

· Coordinate the appropriately determined anesthesia provider type with the contracted provider for the scheduled procedures.

· Ensure scheduling is per OR team requirements for needs and resource availability.

· Work with Aesthetics Surgical Coordinators and billing resources to ensure patient needs and larger procedure requirements are in place to move forward with scheduling.

· Organize and manage doctors’ and nurses’ credentialing

· Assisting with daily reporting

· Work with team to create and meet quarterly and yearly goals

· Executive administrative duties as described above

· Other duties as assigned by management

Education:

  • High school or equivalent (Preferred)

Experience:

  • Medical scheduling: 2 years (Preferred)
  • Computer skills: 3 years (Preferred)
