At the Department of Cardiac Surgery, our mission is to relentlessly raise the standards of care for patients with congenital heart disease.
Our group of 12 cardiac surgeons is dedicated to treating patients with congenital heart disease and other rare heart conditions. Each year, our surgeons perform more than 1,000 surgeries, on both children and adults. Our department has grown to become the largest in the United States, and includes 11 specific surgical programs. We routinely operate on children that are deemed too complex for other heart centers, while still achieving some of the best success rates in the world.
We are looking for someone who is dedicated, upbeat, empathetic, and passionate about the work that we do. Prior surgical scheduling experience is required. This position will offer a hybrid schedule once fully trained.
The Surgical Scheduler II shall be responsible for:
- Scheduling inpatient and ambulatory surgical procedures for operating rooms according to predetermined block schedules and established policies and procedures. Preparing complete daily surgical schedules, including special equipment requirements and incorporating radiology and other non surgical use of operating room facilities. Communicating with surgeons, secretarial staff and admissions personnel to obtain needed information, coordinate and confirm schedules and identify special requirements for procedures.
- Notifying all referring physicians of upcoming procedures and surgeries. Identifying additional OR time for surgeon separate and apart from block time as needed.
- Recording and compiling scheduling information on hospital and departmental computer systems. Reviewing and verifying accuracy of basic patient information.
- Printing and distributing schedules to designated areas of the program.
- Identifying and communicating critical information, such as surgeon and physician availability, and special supply and equipment requests, to nursing and other appropriate staff, as necessary.
- Working with nursing, surgical and anesthesiology staff to monitor and evaluate scheduling procedures and develop strategies to promote efficient utilization of surgical suites.
- Responding to requests for routine information or assistance from patients/parents, visitors and hospital staff, referring inquiries requiring clinical or management judgement to appropriate personnel. Requesting clarification of assigned tasks or instructions from supervisor as necessary.
- Scheduling any consults needed prior to the surgery as requested, i.e. cardiac clearance
- Monitoring Epic for insurance authorization for the procedures
- Bringing high priority issues to supervisor’s attention, and provides updates to supervisor in the follow up and/or resolution of these, and/or related issues
- Assisting with onboarding of new staff and provides ongoing support and assistance to staff
- Being able to work independently without direct supervision. Providing support to level I. Training others and acting as a resource.
- Assisting in the preparation and compilation of monthly OR metrics reports, as defined by the PA or DA.
In order to qualify you must have:
- High School Diploma/ GED
- Minimum 2 years of healthcare admin experience with 1 being direct surgical scheduling experience
- Analytical skills to gather and interpret data in situations in which the information or problems are relatively routine.
- The ability to communicate effectively both orally and in writing and provide empathy in difficult interpersonal situations.
There is a $2,000 sign-on bonus (terms/taxes apply. Internal applicants not eligible for bonus).
